Privacy Policy

This policy covers personal information handled by Rglax Pharma through this website, through the portal, and through the business correspondence that follows an enquiry. We deal with businesses rather than consumers, so most of what we hold is work contact information rather than private personal data.

It describes what the software actually does today. Where a practice changes, this page is updated before the change goes live rather than afterwards.

The enquiry form and the requirement form both submit to our own server and are stored in our database. This is a change from an earlier version of this site, where the enquiry form only opened your email application and stored nothing.

A submission creates a contact record and a lead so that somebody here picks it up, and so that a second enquiry from you is recognised as the same conversation rather than starting again.

To keep the forms usable we check that the address you give can receive mail, we run an automated check that you are not a script, and we record a one-way hash of your network address so that a single sender cannot flood the form. The hash cannot be turned back into an address and is used for nothing else.

Depending on how you contact us, we hold some or all of the following.

• Your name, job title, company, phone number and email address.
• The technical content of your enquiry: the product, the active ingredient, your equipment, batch size, timeline and any documents you ask for.
• Correspondence, quotations, orders and invoices connected with a supply.
• Messages you send us on WhatsApp, recorded against your company so a colleague can pick up the conversation.
• Basic information any web server records when a page is requested, including the network address and browser.
• Analytics from Google Analytics covering which pages are viewed and roughly where visitors are.

If you have enquired with us, or your company is on our supply list, we may send you technical material and follow-up messages. Some of that is sent automatically: taking a document or sending a requirement can start a short series of messages spaced over a fortnight.

Those messages carry a small invisible image and rewritten links. Between them these tell us that a message was opened, which link was followed, and which document was taken. We use this to know when to call rather than to build a profile, and we do not sell it, share it, or use it for advertising.

Open counts are unreliable and we treat them as such: many mail providers fetch images automatically, so a recorded open does not necessarily mean a person read anything.

Every message carries a one-click unsubscribe. Using it stops all automated mail to you immediately, and we do not ask you to confirm it.

We do not sell your information. We do not run advertising or remarketing, we do not add you to advertising audiences, and we do not use tracking that follows you to other websites.

The tracking described above applies only to mail we send you and to documents taken from this site. It does not follow you anywhere else.

Customers and distributors with a login see only their own account: their orders, their consignments, the certificates for batches sent to them, and the material published to them. Accounts are created by us rather than signed up for, and access is scoped to one company with no way to widen it.

We use your information to answer your enquiry, to develop and quote a grade against your requirement, to supply and invoice it, and to meet the record-keeping obligations that apply to a licensed manufacturer.

Our basis for holding business contact information and for sending technical follow-up is our legitimate interest in supplying the trade we operate in, together with the contract where one exists. You can object at any time and we will stop.

Enquiries that go nowhere are kept while they are still worth following up and then removed. Records connected with a supply — orders, invoices, batch and quality records — are kept for as long as the law requires us to keep them, which for manufacturing and tax records is several years.

Batch and quality records are kept for the life of the product plus the retention period, because they are what lets us answer a question about a batch years after it shipped.

Our own staff, and the services the site runs on: our hosting provider, our mail provider, Google Analytics, Cloudflare for the checks on our forms, and — where you are a customer we invoice — the government tax portal, because an invoice must be reported to it.

We do not pass your information to anyone else, and nothing here is used for anything except supplying you.

You can ask us what we hold about you, to correct it, to delete it, or to stop contacting you. Write to us at the address on the contact page and we will act on it. Nothing you ask for here affects records we are obliged to keep for regulatory reasons, and we will tell you if that applies.

When what we do changes, this page changes with it. The date it was last updated is shown at the top.
